Job Details

We are accepting applications for a Senior Support Specialist to be responsible for client support, contract administration, branding consistency, and general administrative assignments.

ESSENTIAL FUNCTIONS

  • Handle branded Business Development Fund Account which allows dealers to submit for cooperative funding for uniforms, advertising, marketing direct mailers, grand openings, new management kickoffs, etc..

  • Work with each customer to define and create advertising option thru multiple media sources such as radio, direct mailers, billboards, etc.

  • Ensure dealers follow franchise requirements and keep track of fund allotment via Excel. Track what is available in remaining funds for future enhancements to branded sites.

  • Attend webinars and offsite meetings for upcoming promotions and EPOS changes.

  • Will assist customers with co-op opportunities and direct them to appropriate resource.

  • Work directly with Chevron and Shell resource websites to obtain detailed information being requested by customer.

  • Administer websites, changing passwords and status profiles as needed by customer. Will ensure information is accurate.

  • Run monthly Station Volume reports.

  • Evaluate volume decreases (red flags) and enter incentive volumes on branded websites.

  • Assist with contract documentation preparation.

  • Analyze payments to ensure they are made correctly and applied appropriately to customer account, GL, etc.

  • Keep and maintain photo archive for each site including site details.

  • Manage the Mystery Shop programs.

  • Assist customers with required franchise regulations.

  • Enter into CRM the dealer contract information to ensure data is centralized and up to date.

  • Follow-up on contracts to ensure they are properly signed-off and fully executed copies are returned to customers.

  • Answer calls and back-up to BT Manager. Provides general customer care as additional available resource.

  • Other duties as required.

Requirements

JOB REQUIREMENTS

  • College degree or equivalent work experience.

  • Marketing experience an asset.

  • Four plus years working in office environment.

  • Proficient MS Excel, Word, and Outlook.

  • Experience working with CRM systems.

  • Excellent verbal and written communications skills.

  • Detail oriented and strong organizational skills.

  • Limited travel.

  • Background check, drug test, and driver’s license check required.
