Position Summary:

Works with the Medical Affairs team and other project team members to ensure timely, efficient, and effective management of team activities and external professional meetings. Responsible for the coordination and facilitation of departments contract and accounting management; IT, business systems planning; all with the understanding of functional interdependencies and critical path activities.

Primary Responsibilities:

Contract Management: Creating, amending, managing, tracking contracts; liaising between Legal Department and vendors for contract details, provisions, milestones, payment terms; back-up for processing grant (Med Ed, IIT, Pt Charity) contracts, payments, and reconciliations; maintenance of department contracts with bi-annual review for expirations; referencing contracts for business owners needs (terms, conditions, expirations); contract management data analysis (i.e., quantifying and monetizing contract types, utilization rates, etc.); department lead for Agiloft (new legal contract system) transition Q2 2020.

Advisory Board and Meeting Planning: Assists with logistics related to organization of advisory boards, either internally developed or with aid of service agencies, other KOL meetings, and department meetings. This may include alignment/communication with relevant stakeholders, internal meeting planning with possible service agency assistance, contracting, general and Sunshine accounting with excellent customer service to all internal and external stakeholders.

Accounting Management: Bi-annual review open POs for billed hours and remaining funds; PO fund refreshes; invoice queries and reconciliation; Sunshine Accounting (consultants, Ph 4 indirect payments, Med Info copy distribution, grants, etc.)

IT & Business Systems: Department subject matter expert (SME) for business systems (i.e., BOX, Workplace); coordinate IT transitions (i.e., Secure Printers, Digitization Efforts, New Phones, Field Hardware Refresh Q1 2020

Education/Experience:

AA degree, but an equivalent combination of relevant education and applicable job experience may be considered. Must be proficient with word processing (Word) and spreadsheets (Excel), PowerPoint, and Smart Sheet. Previous experience working within a pharmaceutical Medical Affairs organization strongly desired. Requires experience supporting multiple stakeholders with competing needs.

Scope:

Has substantial understanding of the job and applies knowledge and skills to complete a wide range of tasks. Works on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations. Normally receives little instruction on daily work, with general instructions provided on newly introduced assignments.

Physical Requirements:

While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, see, talk or hear in a standard office environment. Employee must occasionally lift and/or move up to 15 pounds. Minimal travel, required.
