Under the guidance and supervision of the Human Resources Business Partner (HRBP), the HR Coordinator provides administrative support for the Human Resources department to include report preparation and analysis, information gathering, record keeping, file maintenance, data entry, coordination of activities and employee communications.  The HR Coordinator also answers questions from employees regarding human resources matters or refers the employee to the appropriate specialist for assistance as needed.  As this role handles personal and sensitive employee information, the HR Coordinator is expected to use discretion when handling this information and follow privacy and information security procedures at all times.

ESSENTIAL FUNCTIONS

  • Assists with termination report validation; prepares termination notification report using excel for the purpose of auditing termination protocols related to systems access for all divisions and subsidiaries.
  • Acts as the primary point of contact for unemployment claims for corporate locations and divisions; works with Local Points of Contact (LPOC) and managers in the field to prepare responses to unemployment claims, document requests, hearing and appeals.
  • Gathers information and documents in preparation for response to subpoenas; facilitates communication between requestor and HR management.
  • Prepares Excel reports for management review in response to division inquiries related to the workforce.
  • Provides Benefits enrollment reminders to division LPOCs using reports from payroll (HPW) and benefits (H&W).
  • Assists with processing transactions in new Ceridian Dayforce system to support HRBP assigned subsidiaries, as needed; communicates with the REX center and monitors requests/open tickets in Service Now.
  • Assists with Wellness initiatives; distributes collateral materials, coordinates and communicates activities and materials and tracks participation for divisions/locations supported by HRBP.
  • Assists with the coordination of the performance review process; includes communication, receipt tracking, progress report and filing of completed reviews for corporate divisions.
  • Responds to phone, email or fax inquires and other correspondence, as needed, and/or routes inquiries to the appropriate person.
  • Maintains files, creates step guides for any routine tasks and manages document retention and destruction per legal and company guidelines

Requirements

  • High School Diploma/GED required
  • Bachelor’s Degree in Human Resources Management or related field preferred
  • 2+ years of experience in an administrative or customer service position required
  • Excellent customer service/human relations skills
  • Prior Human Resources experience preferred
  • Prior HRIS data entry and reporting experience preferred
  • Proficiency with Microsoft Office Suite required
  • Ability to communicate effectively and professionally, verbally and in writing, with all levels of the organization
  • Able to work well independently and in a team environment
  • Excellent analytical skills and detail oriented
  • Excellent organizational and time management skills
  • Must be able to exercise discretion when handling sensitive information
