Finance Assistant, Fulbright

The Finance Assistant is a key member of the 20-person unit charged with managing the Fulbright Foreign Student Program. The incumbent will assist the Finance Officer with preparing & monitoring student data and financial reconciliations and provide general financial support to the Fulbright department as a whole. The Finance Assistant must be organized, diplomatic and team-focused.           




  • Communicate with students and university billing offices via email and over the phone regarding tuition invoice questions, payments/refunds, and other student account issues
  • Prepare weekly nonrecurring payments for allowable student expenses in accordance with Fulbright program policies and grant awards
  • Assist in processing university tuition invoices and ensure timely payments
  • Assist with updating financial databases to include all student/university payments & refunds, required university health insurance, and university billing contact information
  • Assist with reviewing student advance requests and respond to student tax inquiries
  • Oversee international students tax process for all AMIDEAST students
  • Work with the student tax software provider to determine students’ U.S. tax obligations and completion of necessary tax returns
  • Assist in managing student W-7 ITIN application process
  • Collect Social Security Numbers, ITINs, W-8BEN and Power of Attorney forms from students
  • Assist Fulbright Director and Program Staff in monthly monitoring of project financial reports to check and collaborate with Accounting staff to correct coding errors and anomalies
  • Assist in assigning student ID and project numbers
  • Maintain and monitor accurate participant financial records
  • Assist in training new staff on financial and tax processes
  • Distribute billing authorization, cancellation and departure letters to university billing offices
  • Assist as necessary with preparation of wire transfers, voucher processing and other administrative duties





  • Bachelor's degree or equivalent
  • Minimum one year of relevant experience in an office environment
  • Experience using Microsoft Office (especially Excel)
  • Demonstrated ability to learn new software


  • Interest in the Middle East and North Africa and/or international education
  • Previous experience working with students and/or in a university setting
