Description
The Executive Assistant is responsible for performing a wide variety of comprehensive, complex and specialized administrative duties to support the senior leadership of a division. The Executive Assistant is also responsible for managing the daily activities to ensure efficient operations, provide information to employees, students and the public and other duties related to the activities as required or assigned. This position provides advanced support of highly confidential and sensitive information/matters as well discretion and judgment.

DUTIES

  • Independently researches, prioritizes and handles matters addressed to senior leadership or escalates the matter as necessary
  • Composes correspondence independently on a variety of matters. Reviews, proofreads and formats correspondence, reports and other documents. Initiates and follows through on deadlines and time sensitive items. Prioritizes items requiring immediate attention.
  • Interacts with the university system, state agencies, community partners, university administrations, donors, alumni, faculty, students, staff and the general public
  • Manages the calendar, travel schedule, project activities, information retrieval, and administrative matters. Serves as the point of contact for the Office.
  • Develops short and long range calendar/scheduling plans. Screens inquiries to senior leadership using discretion and tact in handling all matters.
  • Attends meetings and coordinates the planning and logistics of meetings, to include communications, preparing agendas, gathering of pre-meeting materials and set-up requirements, and transcribing minutes for distribution.
  • Facilitates the arrangement of speaking engagements, conferences, interviews, room reservations, catering, academic media services and the tracking responses.
  • Assists with university-wide projects, events, search committees, etc.
  • May provide work direction and oversee personnel

MARGINAL DUTIES

  • Requires time that may extend after normal office hours
  • Assists with duties specific to area of work
  • Performs all other duties as assigned

SUPERVISORY RESPONSIBILITIES

  • Direct Reports: May provide work direction and oversee personnel
  • Delegation of Work: May assigns work to subordinate(s)
  • Supervision Given: May supervise the work of personnel

KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge:

  • Must be proficient in using MS Office, Word, Excel PowerPoint and Outlook
  • Knowledge of trends, issues, and accepted practices relevant to the position

Skills:

  • Excellent organizational, interpersonal, oral and written communication skills
  • Candidates must have strong analytical and problem solving skills, as well as excellent interpersonal and communication skills

Abilities:

  • Ability to effectively communicate with a wide range of individuals and constituencies in a diverse community

WORK LOCATION AND PHYSICAL DEMANDS
Primary Work Location: Works in an office environment 6 to 8 hours
Physical Demands: Work is normally performed in a typical interior work environment which does not subject the employee to any unpleasant elements. Position is physically comfortable; individual has discretion about walking, standing, etc.
Occasional lifting, pushing, climbing, and pulling may be required.

Work environment involves minimal exposure to physical risks
