Events Marketing Coordinator – Informa | Pharma Intelligence, Boston, MA


Informa Pharma Intelligence is currently seeking an Events Marketing Coordinator to join our team in Boston, MA. The Events Marketing Coordinator will proactively support the Event Marketing Manager in ensuring Pharma Intelligence marketing strategy is turned into effective, customer-facing event marketing tactics that drives customer behavior and consequently business results for the best possible cost and return. This role may work remotely 1-2 days a week, at the manager's discretion.



  • Assist the Event Marketing Manager with implementing the event marketing strategy through ownership of the operational planning
  • Own all aspects of event logistics from kick-off call through execution and post event follow up
  • Work with the Marcomms team to effectively target customers or prospects by ensuring tactics match the strategies and objectives of the businesses and achieve the desired outcomes for the best possible cost
  • Oversee webinars to include: Maintaining webinar schedule, working with Product Marketing Managers on webinar briefs, managing the work flow between internal stakeholders and webinar vendor



  • Create for each event an event marketing brief that takes an integrated marketing approach and briefed into the marcomms team within the correct timescales
  • Coordinate timelines and logistics plans across departments such as: marketing, IT, sales and editorial/content teams as needed to create an integrated event plan
  • Organize and execute all logistics including setup and dismantling, staffing, instructions for onsite personnel, sponsorship details when applicable, shipping, services ordering including audio visual, internet, electrical, collateral and giveaways. Events are often times simultaneous and short on planning time. They include meetings, customer events, tradeshows/conferences
    • Meet all deliverables deadlines provided by show management/vendors
    • Review all graphics/copy before going final. Make recommendations/changes as needed
    • Ensure that there are adequate supplies of any handouts, promotional items etc.
    • Maintain daily communication with all stakeholders to ensure needs are being met and problems are solved prior to event
    • Coordinate closely with MarComm, Sales, Product Marketing Managers and other stakeholders to promote tradeshows, including distribute pre- and post- attendee registration lists 
    • Work within budget guidelines established for events. Reconcile bills for events and submit for approval/payment
    • Post event, prepare reports, detail summaries and lead imports
    • Work with exhibit house vendors and transportation companies to ensure timely, cost effective execution and delivery of equipment and materials
    • Secure contracts and work with Events Marketing Manager and Accounting to finalize contracts and invoicing
    • Ownership of show ordering and staffing, room bookings and organizing all shipping.
    • Reconcile bills and invoices post-show and remits for payment and uploading all leads from events into Salesforce



  • Take ownership and work proactively to ensure the success of the events
  • Experience in event planning and execution
  • Knowledge and understanding of event strategy implementation and their respective phases (planning, execution and follow up)
  • Highly organized, methodical and process-driven, demonstrating a drive to improve internal processes whenever possible
  • Capable of handling high volume of work tasks to ensure deadlines are met
  • Able to deal with ambiguity and work in a matrix organization, adaptable and flexible
  • Ability to work successfully as part of a team
  • Exhibits the ability to be creative and analytical and be able to demonstrate why their ideas are analytically sound
  • Results-driven – ensure that marketing event campaigns fulfil strategic goals and drive the required business results
  • Bachelor’s level education or equivalent experience
  • Ability to travel
  • Proficient in Microsoft Office packages, particularly word and excel
