Description
The College Business Administrator II manages the administrative, financial and human resources operations of a complex college to include research grant administration, and building property management. Provides oversight of budgetary development and forecasting payroll, procurement, contract administration, research administration, facilities and space management and inventory control.

DUTIES

  • Manages financial activities, reviews and approves expenditure documents
  • Performs and monitors monthly verifications of cost centers and generates monthly financial and budget reports
  • Ensures department reconciliations are complete to include research grant administration
  • Makes recommendations on current and future budget expenditures, assists with strategic budget planning and forecasting of projects
  • Reviews and approves personnel documents
  • Oversees the maintenance of all personnel and financial documents
  • Interprets, reviews and updates departmental policies and procedures to ensure compliance
  • Hires, trains, supervises and evaluates staff in financial and administrative functions
  • Provides research grant administration and monitors faculty and staff and effort reporting
  • Ensures departments and centers are in compliance with all federal and state regulations governing grant administration
  • Serves as liaison to facilities management and university police on issues pertaining to building operations and parking
  • Identifies building problem areas and completes work orders
  • Manages property inventory and key control
  • Implements building security and emergency procedures
  • Coordinates events, activities, conferences and meetings for the building

MARGINAL DUTIES

  • Performs all other duties as assigned

SUPERVISORY RESPONSIBILITIES
Direct Reports: Full time employees and part time employees
Delegation of Work: Regularly assigns work to subordinate(s)
Supervision Given: Makes final decision on evaluating employee performance; hiring new employees; disciplinary actions; makes final decision on scheduling employee work hours; makes final decision on coaching and counseling; training; provides recommendations on handling employee grievances and complaints; and makes final decision on granting time off

KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge:

  • Knowledge of trends, issues, and accepted practices relevant to the position

Skills:

  • Candidates must have strong analytical and problem solving skills, as well as excellent interpersonal and communication skills

Abilities:

  • Ability to effectively communicate with a wide range of individuals and constituencies in a diverse community

WORK LOCATION AND PHYSICAL DEMANDS
Primary Work Location: Works in an office environment 6 to 8 hours
Physical Demands: Work is normally performed in a typical interior work environment which does not subject the employee to any unpleasant elements.

Position is physically comfortable; individual has discretion about walking, standing, etc.

Occasional lifting, pushing, climbing, and pulling may be required.

Work environment involves minimal exposure to physical risks
