Description

This Administrative Assistant II assists with the administrative, financial and human resources duties of a moderately complex department or unit.

DUTIES

  • Prepares all expenditure and personnel documents
  • Coordinates travel arrangements
  • Assists with budget reconciliations
  • Orders office supplies and services
  • Coordinates maintenance and acquisition of equipment and services from IT and Facilities Management
  • Prepares/composes and distributes correspondence
  • Schedules appointments and coordinates meetings
  • May prepare contract documents
  • Maintains records relating to administrative, financial and human resources


MARGINAL DUTIES

  • Performs duties that are unique to specific department
  • Performs all other duties assigned


SUPERVISORY RESPONSIBILITIES

Direct Reports: May supervise part-time employee(s)
Delegation of Work: May occasionally assigns work to subordinate(s)
Supervision Given: May provide recommendations on managing student assistants.

KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge: Knowledge of trends, issues, and accepted practices relevant to the position

Skills: Candidates must have strong analytical and problem solving skills, as well as excellent interpersonal and communication skills

Abilities: Ability to effectively communicate with a wide range of individuals and constituencies in a diverse university community

WORK LOCATION AND PHYSICAL DEMANDS

Primary Work Location: Works in an office environment > 8 hours

Physical Demands: Work is normally performed in a typical interior work environment which does not subject the employee to any unpleasant elements. Position is physically comfortable; individual has discretion about walking, standing, etc.

Work environment involves minimal exposure to physical risks
